Legal Assistant – Business Law Department

Our firm has an immediate opening for a Legal Assistant in our business law group. The successful candidate will provide general and administrative support to the lawyers in the department and will have a minimum of 3 years' legal assistant experience. The position will require a self-starter with the ability to manage multiple tasks and adapt to changing priorities.

The successful candidate will be organized, discreet, and detail oriented. In addition, the successful candidate must be able to work independently and as part of a team.

Duties and Responsibilities:

  • Draft and amend legal documentation and correspondence through general instruction, standard format or dictation;
  • Handling all administrative duties (email and calendar management, arranging meetings, etc.);
  • Maintain lawyer files/records system;
  • Communicate with clients and third parties;
  • Providing backup coverage for others;
  • Handle administrative details with respect to accounting, opening and closing files, docketing, billing, etc., as specifically directed by lawyer; and
  • Perform routine clerical, administrative and general office duties.

Qualifications:

  • Minimum of 3 years' experience as a Legal Assistant;
  • Legal Administration and/or Law Clerk Diploma preferred;
  • Solid understanding of business and legal terminology;
  • Knowledge of IP law and patent filings an asset;
  • Strong technical skills using Microsoft Office (Word, Outlook, and Calendar);
  • Familiarity with Aderant accounting software an asset;
  • Excellent oral and written communication skills;
  • Client-service oriented;
  • Ability to work within a team environment and independently;
  • Excellent organizational and time management skills; and
  • Conscientious with strong attention to detail.

Assistant - Corporate Services Department

Our firm has an immediate opening for an Assistant in our Corporate Services Department (CSD). The successful candidate will provide general and administrative support to the Manager and Clerks within CSD, and will have a minimum of 3 years' legal assistant experience. The position will require a self-starter with the ability to manage multiple tasks and adapt to changing priorities.

The successful candidate will be organized, discreet, and detail oriented. In addition, the successful candidate must be able to work independently and as part of a team.

Senior Litigation Legal Assistant

Our firm has an immediate opening for a Senior Legal Assistant in our Litigation Group. The successful candidate will provide legal and administrative support to a Senior Partner in the construction law group and will have a minimum of (8) eight years' legal experience in commercial litigation. The successful candidate is a self-starter, well organized, detail oriented and has excellent client communication skills. In addition, the successful candidate must have working knowledge of the Rules of Civil Procedure and be able to work both independently and as part of a team.

Duties and Responsibilities:

  • Draft and amend correspondence and pleadings through general instruction, precedents or dictation;
  • Arrange for service and filing of legal documents to process servers/agents with the appropriate court;
  • Maintain client physical and electronic files/records;
  • Manage and track deadlines, conditional dates, and appointments;
  • Communicate with clients and third parties;
  • Handle administrative details with respect to accounting, opening and closing files, docketing, billing, etc., as specifically directed by lawyer; and
  • Perform clerical, administrative and general office duties.

Qualifications:

  • Minimum of (8) eight years' experience as a Legal Assistant;
  • Legal Administration and/or Law Clerk Diploma preferred;
  • Strong knowledge of the Rules of Civil Procedure and proficient in preparing court forms;
  • Solid understanding of business and legal terminology;
  • Strong technical skills using Microsoft Office (Word, Outlook, and Calendar), Automated Civil Litigation (ACL), and Legal Essence;
  • Familiarity with Aderant accounting software and Teraview an asset;
  • Excellent oral and written communication skills;
  • Client-service oriented;
  • Ability to work within a team environment and independently;
  • Excellent organizational and time management skills with strong attention to detail;

Payroll & Benefits Coordinator

Job Description:

We have an immediate opening for a Payroll & Benefits Coordinator. The position will report directly to the Human Resources Director and will be responsible for processing all payroll and compensation for the firm, and administering benefits programs. Candidates require a minimum of 2 years' experience processing full-cycle payroll, and administering benefit programs preferably in a law firm.

Summary of Duties and Responsibilities:

  • Process payroll and compensation semi-monthly, validate and correct information monthly and proactively audit payroll year round.
  • Update Dayforce payroll system with new hires, terminations, salary increases, promotions, status changes, leave of absences, etc. as directed;
  • Calculate, balance, and remit all payroll deductions, statutory withholdings, and source deductions (EI, CPP, Tax, EHT), and communicate with Government agencies as required;
  • Complete year-end payroll process, enter year-end adjustments, and prepare/file T4/T4A;
  • Enroll Firm members in applicable benefits as directed and set up accordingly in payroll;
  • Analyze and reconcile monthly benefit invoices (Health & Dental, AD&D, LTD), and provide to Management for approval;
  • Administer the Firm's RRSP, including tracking eligibility dates, providing enrolment details to members, processing through payroll, assisting with transfer details;
  • Provide timely responses to confidential inquiries from all levels of the Firm for matters related to payroll, compensation, and benefits administration; and
  • Support various projects and initiatives as required.

Qualifications:

  • Minimum 2 years' experience in a similar capacity, preferably in a law firm;
  • Payroll Compliance Practitioner (PCP) designation;
  • Post-secondary and/or professional training in finance, accounting, payroll, or human resources;
  • Sound knowledge of legislation relevant to employment practices and payroll administration;
  • Proficient in the following computer program: Microsoft Office Suite (advanced Excel), Document Management Systems, accounting software (Aderant is an asset), Payroll and HRIS (Ceridian Dayforce preferred);
  • Excellent communications skills, verbal and written; must respond appropriately in pressure situations with a calm and steady demeanor;
  • Strong organizational and time management skills;
  • Customer service oriented;
  • Strong attention to detail and ability to work with and identify confidential information;
  • Can work independently and as part of team; and
  • A professional demeanor and ability to juggle multiple priorities in a demanding, fast-paced environment.
